Voicemail Drop is a feature that allows you to send pre-recorded voicemail messages to the voicemail box of unanswered outbound calls by utilizing the FluentStream Click To Call. With this feature, you can add a personalized introduction, set an introductory countdown, and add as many recordings as needed. This is a great feature for sales and support teams who make multiple outbound calls and want the ease of dropping in a pre-recorded message. This is a premium feature.


Install Click To Call:
To utilize Voicemail Drop with Click To Call, you will need to have the Click ToCall extension downloaded in your Chrome browser. For steps on completing Click To Call installation, see here.

Creating Your Voicemail Messages to Drop
This premium feature needs to be enabled by the FluentStream support team, for the feature to populate. Contact us if you would like to learn more about getting this enabled for your extension, 303-462-5683 (opt 2) or support@fluentstream.com


Once the feature has been enabled for your extension you will be able to create or upload the recordings you would like to use for Voicemail drop.


1. Log into my.fluentcloud.com, if you are an Admin, go to the "Portal" view.


2. Go to Call Management>Voicemail Drop:




2. Select "Create New":



Now you will have the option to Record from Browser or Upload a Recording


Record from Browser




1. Select a Title for the recording.
2. You can also add a Feature Code to use the Voicemail Drop feature on demand. This is optional.

3. Enable an Introduction Countdown will allow you to have a predetermined amount of time to leave a personalized message before you drop the pre-recorded message in. This is ideal for personalizing the message a bit more.

4. Countdown - the number of seconds you will have to record a personalized message before the voicemail drop is set.

5. Test Countdown Introduction allows you a real-time test of the amount of time you will have if you enabled the countdown option.


With this option, you can either Save Locally which will save the recording to your computer's hard drive or Save for Voicemail Drop which will save the recording to the portal.  If you Save Locally, you will need to upload the recording in the next step.


Upload A Recording





1. Click Choose File to select the audio file you'd like to upload (Compatible files are .mp3 or .wav and 15mb or less).
2. You can also add a Feature Code to use the Voicemail Drop feature on demand. This is optional.

3. Enable an Introduction Countdown will allow you to have a predetermined amount of time to leave a personalized message before you drop the pre-recorded message in. This is ideal for personalizing the message a bit more.

4. Countdown - the number of seconds you will have to record a personalized message before the voicemail drop is set.

5. Test Countdown Introduction allows you a real-time test of the amount of time you will have if you enabled the countdown option.


Once you have uploaded your file select "Create New Voicemail Drop" 


Enable Voicemail Drop on Click To Call:


Once you have all the recordings you'd like to use uploaded, you will go to your Click To Call>Options and App & Call Management Settings:



Enable Voicemail Drop and Save and you're all set! You will need to "Refresh Voicemail Drop Recordings" when you make any edits or changes.



Note: Enabling Auto-Answer ClickToCall on Handset will initiate a call without requiring you to pick up the handset (most users prefer this option enabled). When this option is disabled, it will call your phone first, and, once answered, it will then call the intended recipient. If you do not pick up the handset, then the call will not automatically dial.


Using the Feature
The feature works from calls initiated in the Click To Call extension. If you a) enter the number directly into the module or b) click on a number in any open Chrome tab.






Once your call connects (a live answer, an automated greeting, or you reach a voicemail box) you will get the following pop up. Select the message you wish to leave if you have recorded more than one. 



Once your selection is made, based on your countdown settings, you will see a timer begin. You are being recorded during this timer, so this is when you will want to customize the beginning of the greeting for the voicemail (recipient's name, etc.). 

 


Voila! At the conclusion of the timer, you will get confirmation that the Voicemail Drop has been sent and your call will disconnect.

 

   



Give it a couple of test runs to get the feel for the timer. Adjust your settings accordingly before you start sending your Voicemail Drops to customers.
